Whether it's managing deposit boxes, measuring equipment, IT equipment or access cards.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If YES, then this article is made just for you.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In this article, I present a suitable solution that is quite easy to use for the operational colleagues using the example of deposit boxes.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For the transport of consumer goods, it is always necessary to provide suitable special boxes. In some cases, the value of the boxes even exceeds the value of the contents, which makes precise management of deposit boxes necessary.<\/p>\n<\/div>\n\n\n\n<div class=\"wp-block-group has-global-padding is-layout-constrained wp-block-group-is-layout-constrained\">\n<h2 class=\"wp-block-heading\">Used tools<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/airtable.com\/\">Airtable<\/a> as <strong>database<\/strong><\/li>\n\n\n\n<li class=\"translation-block\"><a href=\"https:\/\/www.make.com\/\" target=\"_self\">make.com<\/a>  as a <strong>control and automation solution<\/strong><\/li>\n\n\n\n<li class=\"translation-block\">A simple website with JavaScript for <strong>data entry<\/strong><\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The running costs for this solution depend a little on the number of parts listed and the number of transactions. However, a fully functional test environment is possible at no additional cost, as both Airtable and make.com offer a free plan.<\/p>\n<\/div>\n\n\n\n<div class=\"wp-block-group has-global-padding is-layout-constrained wp-block-group-is-layout-constrained\">\n<h2 class=\"wp-block-heading\">How does the process for managing deposit boxes work<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Preparation<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">First of all, each deposit box must be given a unique serial number. To avoid typing in the serial number in the following process, the serial numbers are stuck to the boxes as QR code labels. The use of QR codes has the advantage of error correction. Up to 30% of the QR code can be destroyed or dirty to still enable reading (<a href=\"https:\/\/de.wikipedia.org\/wiki\/QR-Code#Kapazit%C3%A4t_und_Fehlertoleranz\">Wikipedia<\/a>). In addition, compared to non-optical codes, such as NFC tags, a larger distance to the label is permitted and there are no restrictions on the base material.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" width=\"268\" height=\"213\" src=\"https:\/\/www.data-prozesse.de\/wp-content\/uploads\/2025\/01\/QR-Code-SN-10000001.webp\" alt=\"Beispiel eines QR-Code-Labels mit Logo und Text f\u00fcr die verwendeten Pfandboxen.\" class=\"wp-image-196\"\/><\/figure>\n\n\n\n<p class=\"wp-block-paragraph\">In order to assign a box to a customer, the customer number must also be available. In this example, the customer number is also printed as a QR code on the customer order. If an ERP system is used, this code can usually be printed by simply adjusting the layout.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" width=\"161\" height=\"197\" src=\"https:\/\/www.data-prozesse.de\/wp-content\/uploads\/2025\/01\/QR-Code-KN-10735.webp\" alt=\"Beispiel eines QR-Codes f\u00fcr eine Kundennummer.\" class=\"wp-image-197\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Regular workflow<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">The data is then entered using any smartphone or tablet. On a simple website with JavaScript code, the numbers of the deposit box and the customer are then transferred directly to the automation tool.
